Add or Edit Service Subscriptions

Overview With RingLogix's billing platform, managing your monthly recurring charges (MRC) has never been easier. As a partner, you can quickly add or edit service subscription fees to keep your billing accurate and up-to-date. Just remember, these fees only cover the monthly charges for the services you offer and don't include the more complex stuff like long-distance rates or free minute pools. Those settings are in the service plan. Plus, the platform is integrated with the Avalara tax engine, allowing you to directly manage simple-to-use tax mappings. This integration ensures that your taxes are calculated accurately and effortlessly, so you can focus on growing your business without any billing or tax headaches. Adding a Subscription 1. Go to the Admin menu and select Settings. 2. On page load go click the Billing Engine icon on the left side menu. 3. Go to the Subscriptions tab and click Add New. 4. Begin by selecting the Service Type. This is the category of service the subscription is available for. 5. Input the next few fields like the Internal Name (for internal tracking and use only), Name Visible to the Customer (what prints on the Invoice and transaction history) and the Monthly Amount. 6. Next you may set an Avalara Tax Code. This is the mapping the tax and billing engines use to identify the type of service and tax that should be applied during invoicing. All partners have Sales Tax and standard VoIP Tax codes available to their system. NOTE: Several other less common tax mapping options are available. If your compliance vendor suggest you need a different option, please have them provide you the details, and contact support for assistance. Please note that RingLogix is NOT a tax compliance vendor and can not offer any consulting on this topic. We are limited to helping create and implement the tax codes suggested by your compliance vendor and available in the Avalara tax engine. 7. OPTIONAL AND ADNVANCED USE ONLY. Choosing if a subscription is "Qty Based". Most subscriptions are designed and intended to be used one time per service. For example, you have a Hosted PBX with multiple Users, and you charge $30 per User for that service. In that common scenario, the $30 subscription is added once to each unique User. Further, and to avoid adding duplicate subscriptions to a service, they are by default assignable to that unique service only once. Meaning after its assigned it is removed from the add subscription menu during that experience. An exception to that rule can be found with a service like SIP Trunking. In that scenario you may charge $30 per line or call path. And if a Customer has a SIP Trunk with 5 call paths then you would add a quantity of 5. For this to be possible you must check the "QTY Based" field. This will enable the same subscription to be added multiple times to the same service. You should never enable the "Qty Based" feature for subscriptions that are typically only assigned once per service. 8. Once complete click Save Changes. Edit a Subscription 1. Go to the Admin menu and select Settings. 2. On page load go click the Billing Engine icon on the left side menu. 3. Go to the Subscriptions tab and click the gear icon next for the Subscription you want to view or edit. 4. Make your changes and click Save. NOTE: Changes to Subscriptions are real-time and will affect all customers actively using the subscription. In most cases it ideal to create a new subscription as needed. | |
